Task Statuses & Workflow

Task statuses help teams understand where work stands at any given moment. In PrjNx, statuses are designed to reflect real progress, not just intent or availability.

When used consistently, task statuses reduce follow-ups, improve visibility, and make project tracking far more reliable.

Why Task Statuses Matter

Without clear statuses:

  • Tasks appear “in progress” indefinitely
  • Project updates become subjective
  • Managers rely on meetings instead of data

With well-defined statuses:

  • Everyone shares the same understanding of progress
  • Bottlenecks are easier to spot
  • Projects move forward with fewer interruptions

Common Task Statuses in PrjNx

While exact status names may vary by workspace, a typical workflow includes:

  • To Do – Work not started yet
  • In Progress – Actively being worked on
  • In Review – Awaiting feedback or approval
  • Completed – Work finished and accepted

PM Insight:
Statuses should reflect state, not effort. “Waiting” or “Blocked” are states; “Busy” is not.

Choosing the Right Status for a Task

When updating a task’s status, ask:

  • Has work started?
  • Is someone actively working on it?
  • Is feedback required?
  • Is the work truly complete?

Encourage the team to update statuses based on reality—not optimism.

Keeping the Workflow Simple

Early on, avoid overcomplicating your workflow.

Best practice:

  • Start with a small set of statuses
  • Let usage patterns guide future changes
  • Adjust only when there’s a clear need

Complex workflows often create confusion rather than clarity.

How Statuses Support Project Tracking

Task statuses feed directly into:

  • Project progress views
  • Milestone completion indicators
  • Reports and dashboards

Accurate status updates lead to more reliable insights and better decisions.
