Invitation and access issues usually occur when users are added to a workspace or project but cannot see expected content. These situations are typically caused by access scope, role configuration, or invitation acceptance status. 

This guide explains how to identify and resolve these issues quickly. 

Issue: Invitation Not Received 

If a user reports they did not receive an invitation: 

What to check: 

  • Confirm the correct email address was used 
  • Ask the user to check spam or filtered folders 
  • Verify the invitation was sent successfully 

Recommended action: 
Resend the invitation if necessary. 

PM Tip: 
Using the same email address tied to Google or Office 365 sign-in reduces confusion. 

Issue: User Can Log In but Cannot See the Workspace 

This usually happens when: 

  • The user was not added to the workspace successfully 
  • The user signed in with a different email account 

Recommended action: 

  • Confirm the invited email matches the login email 
  • Ask the workspace admin to verify user access 

Issue: User Can See Workspace but Not Projects 

Workspace access and project access are separate. 

A user may: 

  • Be part of the workspace 
  • But not yet added to specific projects 

Recommended action: 
A Project Manager or admin should add the user to the relevant project. 

Issue: User Has Limited Access 

If users can see projects but cannot edit or interact fully, their role may limit permissions. 

Recommended action: 
Review and adjust the user’s role if additional access is required. 

Always assign the minimum access necessary. 

Issue: External Users Cannot Access Expected Content 

External stakeholders may have intentionally restricted access. 

Recommended action: 

  • Confirm which projects they need access to 
  • Avoid granting access beyond their scope 

This maintains security and clarity. 

How to Prevent Invitation and Access Issues 

Project Managers and admins can prevent most issues by: 

  • Inviting users with the correct email address 
  • Confirming project access after invitation 
  • Communicating expected sign-in methods clearly 
  • Reviewing access settings periodically

  • Unexpected access behavior persists
